Tidy Rook
Reviewed monthly document request lists for small Xero bookkeeping practices.
About Tidy Rook
What it does
Tidy Rook helps small bookkeeping practices prepare a monthly document request list — the list of supporting documents clients need to supply to back up recorded transactions. It connects to Xero in read-only mode and scans approved or paid purchase bills and spend money transactions for a chosen month to identify those lacking an attachment. Once potential gaps are surfaced, the practitioner reviews each one and decides whether it genuinely warrants a client request. Items can be marked as externally held, set aside as known recurring exceptions, or flagged for further investigation.
Only after that review is complete can a request list be exported — as plain text or CSV — for the practitioner to share with the client through whatever channel they prefer. Nothing is sent automatically. The mandatory human review step between identifying gaps and contacting the client means practitioners can vouch for every item they send out.
Who it suits
Tidy Rook is built for small bookkeeping practices that run their client work through Xero. It is in limited US release at time of writing, supporting US practices with US-based Xero clients only. Current infrastructure capacity supports a maximum of ten practices in total, making availability genuinely limited rather than a marketing phrase.
It is designed for practices that already have a document storage system in place — whether native to Xero, Dext, or any other solution — and simply want to eliminate the manual, from-scratch rebuilding of a monthly request list. Xero's own document workflow or Dext's tooling may be sufficient for practices already well served by those products; Tidy Rook targets the narrower gap of reviewed list preparation.
Setup and integrations
There is no AI component; Tidy Rook is a traditional rules-based tool that surfaces transaction attachment status through the Xero API. Setup is a light self-service process — practitioners create a practice account, connect a Xero organization, and begin their first monthly review workspace.
The website provides a live interactive sample using invented records that requires no account or financial data, allowing a prospective user to experience the review workflow before signing up. The launch plan costs $29 USD per month and covers one practice account with up to five connected Xero organizations, each capped at 1,000 purchase bills and spend money transactions per month. A 14-day free trial of one Xero organization is available without a credit card; the trial does not convert automatically into a paid subscription. The product is developed and owned by Capiri Ltd. and is independent of Xero. Support is available via email at hello@tidyrook.com, and the product can be explored at https://tidyrook.com/?ref=ledger_brief.
Where it falls short
Tidy Rook does not examine every bank statement line or perform account reconciliation; the scope is intentionally narrow, covering only approved or paid purchase bills and spend money transactions. It does not migrate documents, make bookkeeping or tax decisions, or claim that a missing attachment equals a missing receipt.
The tool is limited to US practices with US-based Xero clients only, and total capacity is capped at ten practices. Practices already well served by Xero's native document workflow or Dext's tooling may find no gap for it to fill. Because nothing is sent automatically and every export requires a completed review, practitioners who want fully automated client-chasing will find the deliberate friction a poor fit rather than a feature.
Best for
Solo or small Xero bookkeeping practices that prepare monthly client document request lists by hand and want a structured review step before sending.
Key Features
- Read-only Xero connection that identifies purchase bills and spend money transactions missing attachments for a selected month
- Practitioner review workflow with options to mark items as externally held, set recurring exceptions, or flag for investigation
- Plain-text and CSV export of the finalized, reviewed request list for manual sharing with clients
- Saved recurring exceptions that carry forward and are re-reviewed each month
- Interactive invented-record sample that demonstrates the full review workflow without an account or live financial data
Pros & Cons
Pros
- The mandatory human review step ensures every document request on the exported list has been individually considered by the practitioner before it reaches the client.
- The read-only Xero connection means no client financial data is written or altered, reducing risk when granting third-party access.
- Known recurring exceptions can be saved and surfaced each month for review, reducing repetitive decisions without removing practitioner oversight.
- No credit card is required to create an account, try the interactive invented-record sample, or start the 14-day trial, lowering the barrier to evaluation.
- The tool integrates into an existing document storage workflow without requiring document migration, so practices do not need to change where files live.
Cons
- The tool is limited to US practices with US-based Xero clients only, making it unavailable to the majority of the global Xero user base.
- Total capacity is capped at ten practices at launch, meaning availability cannot be guaranteed even for eligible US users.
- Coverage is restricted to approved or paid purchase bills and spend money transactions; bank statement lines, other transaction types, and account reconciliation are explicitly out of scope.
- There is a data-size limit per review, and an incomplete or oversized review cannot be exported, which may block users with higher transaction volumes unless they contact support before subscribing.
- The product has no verified reviews on G2, Capterra, or TrustRadius, so independent third-party validation of real-world performance is not yet available.
