About Creditloom

What it does

Creditloom automates the allocation of open credit notes to outstanding invoices and supplier bills inside Xero. It performs a read-only scan of all authorized credit notes that still carry credit and all authorized invoices and bills that still have an amount due, then proposes allocations using one of three matching strategies: oldest-first, which processes credit notes and invoices in chronological order; exact-amount-first, which tries to pair a credit note with an invoice whose outstanding balance equals the credit exactly before falling back to oldest-first; or by-reference, which matches on document reference or invoice number before applying oldest-first logic to the remainder.

The proposed allocations appear in an editable table where rows can be unticked and individual amounts can be lowered before anything is written. A pre-write validation re-reads the relevant documents from Xero to check amounts, approval status, contact, currency, and lock dates. Only after the user types the word ALLOCATE followed by the precise row count does the tool write to Xero. Guards run at three points — during planning, during the pre-write check, and again from a fresh Xero read immediately before each credit note's batch is written. If amounts have changed or a document is no longer approved between preview and run, the affected row is skipped and reported rather than adjusted. Locked-period rows are similarly skipped and listed with a reason. An idempotency key per row means a job can resume without double-writing if interrupted. Only one job may run per organization at a time.

Allocations can be undone for up to 30 days after a job. Undo reads the audit log of allocation IDs that Creditloom wrote, re-confirms each allocation still exists in Xero, and calls Xero's deletion API for each one, touching nothing that Creditloom did not create. Undo is free and does not count against the plan's allocation allowance.

Who it suits

Creditloom is built for accountants, bookkeepers, and business owners who manage Xero organizations and have a backlog of unapplied credits — whether a pile of supplier credit notes at month-end or a customer account where credits should have already cleared older invoices. It is a one-person business built by Samet Ateşen, trading as Atesen Software, based in Sakarya, Türkiye, and is independent and not affiliated with, endorsed by, or certified by Xero.

The tool supports only Xero-connected organizations and has no standalone bookkeeping functionality and no integrations outside of Xero, so practices not on Xero should look elsewhere.

Setup and integrations

Creditloom is a web-based add-on for Xero. Sign-in is via Xero's own OAuth page, so Creditloom never receives the user's Xero password. After connecting, the tool scans the authorized Xero organization immediately; no extended onboarding is required.

The only integration is Xero. Payments are processed by Paddle as the merchant of record. The tool stores no advertising or analytics scripts. Xero tokens are encrypted and deleted immediately on disconnect; scan data is encrypted and deleted after 24 hours; job plans are deleted 30 days after completion; the audit log — containing only IDs, numbers, amounts, and outcome codes, no contact names — is retained for 12 months.

Where it falls short

Matching rules enforce strict boundaries: sales credit notes go only to sales invoices, supplier credit notes go only to bills, and matches are made per contact and per currency without exception. Credit notes with no eligible counterpart are surfaced as unmatched with an explanation but cannot be forced through.

If amounts change or a document loses approved status between the preview and the write run, the affected row is skipped rather than adjusted, which may require the user to re-run for those items. Locked-period rows are skipped entirely. Only one job may run per organization at a time, which can slow high-volume work. The free tier covers only the first five allocations per organization; beyond that, users must take the one-time $39 pass for a single organization over seven days covering up to 300 allocations, or the $29 per-organization monthly subscription with unlimited allocations — both prices exclude VAT and sales tax. The undo window closes after 30 days. The tool has no standalone bookkeeping functionality and no integrations outside of Xero.

Best for

Bookkeepers and accountants managing Xero organizations who need to bulk-clear a backlog of unapplied credit notes against outstanding invoices or supplier bills.

Key Features

  • Bulk allocation of open Xero credit notes to invoices and bills using three configurable matching strategies
  • Editable preview table with per-row amount control and row exclusion before any write occurs
  • Three-stage amount and status validation with locked-period detection and skip-not-adjust logic
  • Full undo for 30 days, touching only allocations Creditloom created in that job
  • Idempotent job execution that survives browser closure and resumes without duplicate writes

Pros & Cons

Pros

  • Nothing is written to Xero until the user explicitly types ALLOCATE followed by the exact row count, making accidental changes essentially impossible.
  • Three-point validation — at planning, at the pre-write check, and from a fresh Xero read immediately before each write — ensures allocations reflect live data rather than a stale preview.
  • Completed jobs can be fully undone for 30 days, with Creditloom deleting only the allocations it created and reporting any rows Xero refuses to delete.
  • The free tier includes unlimited scans and previews plus the first five allocations per organization, allowing evaluation across multiple client files before any payment is required.
  • Xero authentication is handled entirely on Xero's own OAuth page, so Creditloom never receives or stores the user's Xero password.

Cons

  • The tool works exclusively with Xero and has no support for other accounting platforms such as QuickBooks or Sage.
  • The one-off $39 pass is capped at 300 allocations and expires after seven days, which may be insufficient for organizations with very large volumes of unapplied credits.
  • Speed is constrained by Xero's API rate limits — on Xero's Starter tier (1,000 calls per day), a large job may pause overnight and continue the following day, making same-day completion of very large clean-ups impossible.
  • The monthly plan is priced per organization, so practices managing many client files will pay $29 per active organization each month, with no multi-organization bundle available.
  • Undo requires the organization to remain connected; disconnecting before undoing a job permanently removes Creditloom's ability to reverse those allocations.
